Gain full control of your Form Fields in each of your Apps by setting them as read-only, mandatory, or even visible to certain team members based on the state of each of them with Form Rules. You will also have the option to reset the value of a given field based on conditions.
Edition Qualifier: This feature is available in all Servis.ai Editions.
User Permissions: Only the Administrator can customize Form Rules.
In this tutorial, we will cover the following topics:
Navigate to Form Rules
Open the menu and go to Settings > Apps to display the available applications. Then select your desired app and click on the 'Form Rules' tab. You can also use the search function to get there faster, just start typing 'Form Rules'.
Create Form Rule
To get started, click the 'Add New Form Rule' button.
1. Description
Add the description of your form rule and select the Roles that will be limited by the rule.
2. Roles
Decide which user roles you would like your Form Rule to apply to.
3. Conditions
You can define the value of one or more fields that will serve as the trigger.
- You can add multiple conditions to a single Form Rule.
- All conditions must be met for the rule to take effect—each condition operates with AND logic.
- Available Operators will vary depending on the Field Type you select.
4. Form Actions

Choose an Action Type – Start by selecting the action you want to perform. For example, select "Hide for Field."

Configure the Action – Click the cog icon next to the action menu to open configuration options.
- If you're hiding a field, choose which specific field to hide.
- Only fields from the current application will be available for selection.

Add Multiple Actions – You can include as many actions as needed. Rules can be simple or complex depending on your setup.

Save Your Action – Once everything is set, click 'Save' to apply the action.
Important Notes
Role-Based Visibility:
Form Rules only apply to the Roles selected during configuration. If no roles are specified, the rule will apply to all users.
Imported or Integrated Records:
Records added through imports or integrations won’t trigger Form Rules automatically. To activate rules on these records, perform a blank edit (open and save the record) as long as the conditions are met.
Effective Scope:
Form Rules only affect new or manually edited records created after the rule is set up and only if they match the defined conditions.
Known Limitation – Lines:
In Line items, Form Rules cannot hide sections or fields. This is expected behavior, not a bug.
To minimize visibility, consider moving those fields to the bottom of the form layout.
