Automations & Status
Automations help you and your organization do more, automatically. You can use them to:
- Assign Work
- Do Work Automatically
- Integrate FreeAgent to other systems or processes.
Essentially any process that can be repeated can be automated within FreeAgent. Automation Runs is a place to view all of the Automations that have run and their status. You can learn more from this article.
There are different statuses available during the processing of an Automation. Here are the details:
Completed
The automation has been completed successfully.
Active
The automation is currently in progress, executing the defined actions. It remains in this state until all tasks are completed or an issue interrupts the process.
Running
The automation is still running and has not yet been completed.
Queued
The automation has been created and it is currently being processed.
Canceled
The automation was intentionally terminated before completion. This could occur due to user intervention or system-defined conditions, such as timeouts or specific cancellation criteria.
Failed
Something occurred that caused the automation to fail. When this happens, the job error column will show additional details. Triggers a notification to the team member that started the process.
Troubleshooting Failed Automations
To troubleshoot automation errors, navigate to the Failed tab, where you can identify the cause of the failure. Simply expand the automation you wish to review, and a list of all actions within it will be displayed. The failed action will be clearly indicated. Click on Log Info to open a detailed error modal, providing insights into what went wrong.

Here we can see two main lines:
1. Status
Displays the current stats for the automation.
2. Error
In automation processes, error messages can vary depending on the specific automation. For instance, in the example above, the error message states:
"Validation error happened - Assigned To is required."
This indicates that the system attempted to validate the "Assigned To" field but failed because no valid value was provided.
For validation-related errors, the syntax generally follows this structure:
Error Type - (Field Name) is required.
Check the Failed Automation
Once you have identified the field that caused the automation to fail validation, you can check it again in the expanded details for a clearer visual representation of the issue. In this case, the details will appear as follows:

You can quickly identify the failed action by looking for the red X at the bottom. This action contains the description and the "Assigned To" field, which is the source of the issue. Additionally, any subsequent actions will appear with grayed out icons, indicating that they were never executed and the whole automation failed.
Once the source of the issue is identified, you can edit the automation to ensure it runs correctly. To do this, navigate to Settings > Advanced > Automations, search for the automation by name, and click the pencil icon to make the necessary adjustments.

Automation Detail

To view the details of an automation, click on the arrow next to it. This will display all actions included in the automation, along with their statuses.
This feature is particularly useful when troubleshooting failed automations, as it allows you to identify the specific action that caused the failure.
Additionally, you can access detailed log information by selecting "Log Info".

Jobs
Troubleshooting errors is an essential aspect of managing Jobs in Servis.ai. These errors are a natural part of the process, and the Jobs App stores all job-related activities across your instance for every app. For example, the following is an error related to SendGrid, an integration used for sending emails through Servis.ai.
You can learn how to troubleshoot this same error in
this article from our Knowledge Base.
